By default, when you (or Piper) create a Note, Meeting, or Call from an object like Contact and Company, HubSpot will automatically associate it with that object’s most recent Deals.

Example:

If you create a Meeting for the company “Lego Inc.”, and this company has 4 active Deals, HubSpot will automatically link that Meeting to all 4 Deals. In other words, the Meeting will appear in each of those Deal records.

This behavior can lead to confusion and spread information across Deals you don’t want to mix up.

Updating the Logic

Go to Settings → Objects → Activities → Associations.

In Associations, you can view the logic for each Object and Activity.

Changing the Behavior for “Contacts → Notes”

Click on Contacts, then click Notes.

Update the Associated Deals logic to “None”.
